Stop losing money on variations.

Most variations don't get lost because the customer refuses to pay. They get lost because nobody wrote them down at the moment they were agreed on site, and by the time the invoice goes out the conversation has faded.

The fix is procedural, not personal: the variation is created on the phone before the extra work starts, the customer approves it in their portal with a signature, and the project value changes immediately. When the progress claim is raised it already includes the approved change. No awkward call, no discount to keep the peace.

Set up a client portal customers actually open.

Customers open a portal when it answers the question they were about to ring you with. That means the first screen must show progress, what's happening next and anything they need to do — not a list of documents.

Keep the language plain. 'Waterproofing complete, tiling starts Monday' beats 'Stage 4 closed'. Put approvals and payments at the top, in one block, with one button each. Everything else — photos, timeline, invoices, messages — belongs one tap deeper.

Clock In without the pushback.

Teams resist time tracking when it feels like surveillance and gives them nothing back. It works when it removes a chore: no paper timesheet, no Friday reconstruction of the week, breaks and travel handled automatically.

Be explicit about location: it's shared only while clocked in, it's used to suggest the right job and to check arrival — and staff can see exactly what the office sees. Pair it with a Staff app that makes their day easier and the conversation changes.

Consolidate supply runs and stop paying retail.

A crew that stops at the trade counter every morning is quietly costing you an hour of labour and a retail mark-up per day, per van. The alternative is a single inbox where anyone can type what they need in plain English.

Group requests by supplier, raise one purchase order, email it with the PDF and let the supplier confirm the delivery date. When the goods arrive, receiving them posts the cost straight to the job — so the margin you see is the real one.
